A wholesale beach-tent brief should start with where and how the shelter will be used: a family beach line, a travel accessory, a resort shop, an event kit or a compact online assortment. That decision affects the usable footprint, setup method, packed size, anchor system, fabric and packaging. It also determines whether a UPF or other performance claim is important enough to require a report before artwork is approved.

Choose the shelter format

Do not call a shelter windproof, waterproof or UV-protective merely because it looks robust. Those are claim and test questions. Ask what the fabric and frame were designed to do, what the product instructions say, and which evidence can be supplied for the exact configuration.

Compare fabric and frame materials

Fabric discussions often stop at polyester versus nylon, but a buyer needs the complete construction: yarn or denier, weave, coating or finish, colour, seams, reinforcement points, care instructions and packed behaviour. A heavier fabric may improve hand feel or abrasion resistance while increasing weight and freight volume. A coating may change shade, handle, odour or care. Confirm the exact option instead of assuming that a material family gives a universal result.

The frame and anchoring system deserve equal attention. Record pole sections, connectors, hinges, guy lines, pegs and sand anchors if they are included. Request a packed sample so the team can measure the retail footprint and verify that the accessories shown in the listing actually arrive with the product.

Handle UPF claims with evidence

UPF describes how much erythemally weighted UV radiation a tested textile blocks or transmits. The AATCC description of TM183 explains that the method measures UV transmission through fabric specimens; it does not turn every shade shelter into a certified claim. The same page points to ASTM D6603 for UV-protective textile labelling.

If your range needs a UPF statement, ask for the report, tested fabric reference, specimen condition and labelling basis. Check that the tested material, colour, coating, wet/dry condition and construction correspond to the production item. Keep the claim qualified until the evidence is reviewed; do not copy a number from a different fabric or garment.

Prepare the wholesale specification

• Product: usable footprint, height, entry, windows, shade panels and setup method.
• Materials: fabric construction, frame, connectors, seams, reinforcements and anchors.
• Pack: folded size, net weight, carry bag, inner pack, carton dimensions and shipping marks.
• Claims: only reviewed UPF, water, flame or care wording for the exact item and market.
• Commercial: colour options, artwork, estimated quantity, target market and requested quotation terms.

This specification gives a supplier enough information to quote the same product you intend to sample. It also gives your team a clean checklist for product pages, packaging review and pre-shipment inspection.

Sample and approve before bulk

Ask for a complete sample, not just a fabric swatch. Set it up, measure the footprint, fold it back into the proposed bag and count every accessory. Photograph the agreed reference and write down any changes before the quotation becomes a production instruction. If a claim is important to the sale, complete the evidence review before final artwork.
